How we handle the data you trust us with — written in plain English, no surprises.
This privacy policy explains what data Ramazzini Software, Inc. ("Ramazzini," "we," or "us") collects when you use our software and website, how we use it, who we share it with (very few parties), and the choices you have. By using Ramazzini, you agree to the practices described here.
We are committed to handling your data in compliance with all applicable laws and regulations, including (where they apply to you) the California Consumer Privacy Act (CCPA/CPRA), the EU General Data Protection Regulation (GDPR), the UK Data Protection Act, the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada, the Health Insurance Portability and Accountability Act (HIPAA) where relevant to occupational health contexts, and OSHA recordkeeping rules where they intersect with the information you process in our platform.
1What we collect
We collect only what we need to provide the service. Specifically:
- Account data. Name, work email, organization, role, and password (hashed).
- Uploaded content. Lab reports, contextual field notes, observational data, and the reports Ramazzini generates from them. This content is your data.
- Usage data. Pages visited, features used, error logs, and approximate location (derived from IP) for security and product improvement.
- Billing data. Handled by our payment processor (Stripe). We don't store your card number.
2How we use your data
- To provide the service — parse your reports, generate outputs, store your work, sync across devices.
- To support you when you ask for help.
- To improve product quality through aggregated, de-identified metrics.
- To send essential service notices (billing, security, downtime). Marketing emails are opt-in and can be turned off at any time.
Your lab reports, contextual notes, and the reports we generate from them do not leave the Ramazzini ecosystem. We do not sell your data. We do not use your content to train third-party models. Period.
3How we store & protect it
- Encryption in transit (TLS 1.2+) and at rest (AES-256).
- Access controls, least-privilege staffing, and routine security review.
- Tenant isolation — your content is logically separated from every other customer's.
- Backups encrypted and retained on a rolling 30-day window.
No system is perfect. If we discover a security incident that affects you, we will notify you in accordance with applicable breach-notification laws.
4Who we share it with
A short list, and only what is strictly necessary for them to do their job:
- Cloud infrastructure (e.g. AWS) — to host the service.
- Payment processor (Stripe) — for billing.
- Email delivery (Postmark / SendGrid) — for transactional email.
- Error monitoring (Sentry) — for diagnosing bugs (scrubbed of content where feasible).
We do not sell or rent your personal information. We do not share your content with advertisers. We do not let any third party train AI models on your content.
5Your rights
Depending on where you live, you have the right to:
- Access a copy of the personal data we hold about you.
- Correct data that is inaccurate.
- Delete your account and the data tied to it.
- Export your content in a portable format.
- Object to certain processing and withdraw consent.
- Lodge a complaint with your local data protection authority.

6Data retention
We retain your account and content for as long as your account is active. If you cancel, your content is retained for 60 days (in case you change your mind), then permanently deleted from production systems. Backup expiry follows within 30 days.
7International transfers
Our primary infrastructure is in the United States. If you access Ramazzini from outside the U.S., your information will be transferred to and processed in the U.S. under the safeguards required by applicable law (Standard Contractual Clauses for EU/UK transfers).
8Children
Ramazzini is a professional product not directed at children under 16, and we do not knowingly collect their personal information.
9Cookies
We use a small number of essential cookies (authentication, security) and optional analytics cookies you can opt out of. We don't use advertising cookies.
10Changes to this policy
If we make material changes, we'll notify you by email or via the product before the change takes effect. The latest version is always at this URL.
